• Job Requirements: Provides administrative support to various functional departments including Sales, Accounting, Procurement, Service, Special Projects, etc.
• Helps maintain customer information and work order/item statuses in Excel and COINs. Provides customer support by following up with customers to ensure satisfaction. Elevates issues to manager.
• General administration and document management – filing, printing and archiving of information. Prepares and edits correspondence, reports, spreadsheets, and presentations. May also serve to back up reception duties including mail distribution, routing calls and attending to guests/clients as needed.
• Look up parts via supplied computer programs and vendor catalogues for mechanical and refrigeration parts and equipment brands we service. Helps to process customer and shop orders, technician POs, backorders, credits and quotes.
• Provides back-up support to inside sales administrative team to support compiling sales proposal documentation and distribution.
• Provides back-up support to administrative procurement team in service. May include varying administrative and work tracking elements and parts tracking to support field engineers and technicians.
Qualifications:
• Associate's degree (A. A.) or equivalent from two-year college or technical school; or six months to one-year related experience and/or training; or equivalent combination of education and experience
• Working knowledge of Word Processing software, Internet software, and Spreadsheet software
• Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization
• Excellent organization skills and attention to detail
