Petrochemical Manufacturer
Requirement:
A global petrochemical manufacturer required a full-service solution to control and monitor contingent labor covering budget spend, staffing levels, time to fill vacancies, quality of hire, compliance, and supply chain management. The client has multiple sites and required the solution to be implementable across the sites over a phased timeline.
Challenge:
They required a sophisticated fully featured vendor management software platform that provided flexible and customised performance reporting of the contingent labor data. The system chosen had to seamlessly integrate the data into their SAP systems in real-time, to ensure full monitoring of data, and provide audit and billing operations.
The design, implementation, and management of the chosen platform was the responsibility of TRS Workforce Solutions.
The brief was challenging as the client set a timeline to implement a chosen system within 84 days of our contract agreement. The requirement to integrate with SAP restricted the choice of systems available on the market. The tight timeline meant that it was critical for the TRS management and implementation team to quickly establish key relationships with the client's management and end-user team. Similarly, the TRS team had to work closely with the chosen software company's designers.
Solution:
With the requirements above, the TRS team advised the client that the best solution was offered by designing and implementing an SAP Fieldglass platform to offer the seamless integration that the client needed.
Implementation:
1. Prior to the formal contract award, a TRS Account Manager was appointed as the single point of contact with the client and the software vendor.
2. TRS designed and implemented a communications plan involving the client and software vendor representatives ensuring regular agreed communications were adhered to.
3. TRS determined a project schedule with key milestones and supporting KPIs.
4. Program deliverables were managed as part of a formal weekly update with all parties.
5. TRS senior management championed and established close relationships with their client counterparts.
Outcome:
The solution was successfully implemented over a 12-week timeline. Implementation was achieved in two phases. Phase one was to achieve cost savings for the client by the TRS management of their suppliers and contingent workforce.
Phase two saw the successful 'go live' of the SAP Fieldglass platform. This was achieved in a dramatically shortened timeline of 12 weeks in comparison to the normal industry timeline of 20 weeks.
... We challenged TRS to work to a condensed timeframe regarding the rollout of the SAP Fieldglass VMS implementation to support the program which they met with their first-class attitude to change management, account management, and the quality of the staffing provision. Their responsiveness to urgent matters is what sets them apart from other providers.
Client ManagementToday, the VMS solution is successfully providing the deliverables identified to the client's satisfaction, and a testimonial to the success of the program received has endorsed the TRS team for their hard work and professionalism in delivering over a short timeline.
