In the Administrative Assistant – Junior role, you will be an integral part of a dynamic team and responsible for performing administrative duties to help Site Office run smoothly and efficiently. This role will be based at Site and will report directly to the Construction Manager.
Key Responsibilities:
Administrative Duties:
• Support day-to-day operations by performing administrative tasks for the manager and team.
• Compile data, statistics and other information
• Schedule and confirm appointments
• Answer telephone calls and taking messages for the manager and team.
• Arrange travel, hotel, and car reservations and prepare travel itinerary.
• Order office supplies and maintain inventory
Project Operations:
• Submit invoices for approval and inform financial department.
• Maintain Operations schedules updated in the main Squamish Office.
• Support Human Resources:
• logistics schedules (deliveries/ returns) and storage procedures.
Required Experience:
• At a minimum, a Grade 12 education is required, plus 5+ years of directly related experience and at least 2 years’
• Excellent skills in MS Office, Teams, DocuSign, Adobe package and internet searching tools.
• Ability to build relationships and maintain trust; uses diplomacy, tact and discretion with sensitive and confidential matters.
• Ability to work independently and collaborate with others in a team environment.
• Strong interpersonal and communication skills
Additional Requirements:
• Performs other general duties and requirements to support site staff.
• Valid Driver’s License 5
