Summary
This position assists and supports others in a department, subdivision, function, or project. The position relies primarily on established policies, procedures, and applicable work practices to make decisions as they apply to the job duties and responsibilities.
Scope
This position requires a thorough understanding of the Contract Management work processes and procedures. This position supports project contract management by maintaining contract documents and files in support of major projects. This position provides guidance and instructions to other Contract Technicians when questions or concerns arise.
Principal Job Duties & Responsibilities
• Provide support to Contract Management activities on large-scale projects; duties may include assisting multiple Contract Administrators and Contract Managers with the preparation and execution of pre-award and post-award activity
• Prepare, maintain, retrieve, and communicate records, reports, or documents that may be required to meet corporate and Contract Management requirements
• Prepare and maintain all electronic and hard copy files in accordance with client’s Practices required to meet corporate and Contract Management requirements
• Set up project files in accordance with client practices
• Assist in the preparation and assembly of Request for Proposals and Contracts
• Establish and maintain communications with client representatives and project staff through meetings, telephone and web conferences, and reports to provide for client satisfaction
• Participate in the pre-qualification process of subcontractors; support Contracts Administrators in the pre-qualification process of subcontractors; issue a pre-qualification questionnaire to bidders/contractors, collect and consolidate the data
• Apply thorough knowledge of client’s Contract Management System (CMSism), or similar system, SAP Systems, and client's Reference Systems
• Reconcile client's Contract Management System (CMSism), or similar system, Commitments and SAP on a monthly basis; ensure compliance with Sarbanes Oxley, or global equivalent, and other governmental requirements
• Apply knowledge of the client Office/Department structure
