The role will see you take on all aspects of general administration and secretarial duties as well as
Contact management to include greeting guests, answering calls, and inter-department liaison.
Responsibilities:
• Handling and distribution of all incoming and outgoing correspondence.
• Maintaining the filing system and document control responsibilities.
• Arranging travel, accommodation and conference rooms
• Arranging training, joining instructions and course bookings
• Raising and tracking purchase orders and team requisitioning.
• Co-ordinating meetings, drafting agendas and taking minutes
• Arranging team conferences, workshops and
• Assisting the Communications team with events, campaigns and external stakeholder engagement
• Corporate clothing/PPE ordering
• Various ad-hoc duties that arise in terms of office administration
Deliverables
• Ensure training is booked, PO created and joining instructions sent to delegates before expiry of current certification
• Processing invoices for approval and payment in a timely manner, keeping late payments to a minimum
• Use of company purchasing card or PO system (SAP) to purchase items based on project needs
• Liaising with the Communications team on community fund requests, stakeholder engagement and events.
• Request new clothing from our supplier based on site needs whilst following branding guidelines
Other Requirements
• Highly organised with attention to detail.
• Previous experience of providing administrative support to a large team
• Able to demonstrate team working skills and good administrative abilities.
• Excellent communication skills and confident liaising with others at all levels
• Sound IT skills, in particular MS Word, Excel and PowerPoint.
• Self-motivated with a willingness to learn.
• Preferably live within close proximity to Harwich (some home working accepted)
